We are recruiting a Receptionist to join our growing non-profit organization, driven by feminist values.

What is a Casual Employee?
A casual employee is not regularly scheduled but is employed on an “on-call” basis to cover the absence of a permanent employee or support operations during busy times.

Under the supervision of the Office Coordinator, the Receptionist will be a problem solver with excellent communication skills and impeccable attention to detail. They will have previous experience working in an office environment, performing administrative tasks and providing support to coworkers and clients. The ability to multitask, communicate effectively with people from all walks of life, and work in a highly-organized manner is essential to the position.

Key Responsibilities
• Serve as the eyes and ears of the office, providing information, answering questions, and responding to requests.
• Operate the front desk, including managing a multi-line phone system, greeting guests who enter the office and making sure they follow our Communicable Disease Prevention protocols, managing incoming/outgoing mail, and maintaining an organized, clean office environment
• Ensure optimal operation of office equipment with preventive maintenance and troubleshooting as needed.
• Maintain appropriate levels for supplies and inventories.
• Managing general operations by taking ownership of common calendars, phone, in-person, email and mail communications, office cleanliness, implementation of communicable disease protocols, etc.
• Provide direct administrative support to the managers, including email correspondence, generation and distribution of memos, letters, spreadsheets, and forms
• Plan, organize, and schedule agency meetings occurring in the office, offsite, and via video conference
• Maintain common spaces for appearance and functionality and ensure grounds are kept to an acceptable standard
• Maintain electronic filing systems, contact database, employee list, and inventories
• Oversee and order office supplies and food deliveries for group meetings
• Record statistics such as numbers of calls received, people who visited the office, referrals made etc.

Qualifications / Required Skills

Knowledge, Skills, Abilities, and Requirements
• Grade 12 education
• Six months of related recent experience
• Or equivalent combination of education, training and experience
• Superb written and verbal communication skills
• Strong time-management skills and multitasking ability
• Proficient in Microsoft Office programs, with an aptitude to learn new software and systems
• Comfortable and diligent handling confidential information
