Title: Quality Assurance Team Assistant
Status: Temporary Full-Time – until March 31, 2024.
Location: Possibly to work remotely, hybrid model. Kamloops, BC Hours: 35 hrs/week
Schedule: Monday – Friday 8:30 AM to 4:00 PM, 30 minutes unpaid lunch

We are recruiting a Quality Assurance Team Assistant to join our growing non-profit organization, driven by feminist values.
Under the supervision of the Director of Operations and Programs, the Quality Assurance Team Assistant will be responsible for assisting in the development and implementation of a quality assurance plan for the society. This would be inclusive of ensuring compliance with The Commission on Accreditation of Rehabilitation Facilities (CARF) standards, Assess Health and Safety approach and implement processes to ensure CARF Compliance and best practices, Audit, analyze and improvements to areas of identified risk for the society such as recruitment and retention initiatives, succession planning, and overall file quality assurance review for improvement.

Key Responsibilities:
• Review current CARF standards, practices used to meet the CARF standards and then conduct an audit, and analyze the internal processes used to complete these.
• Auditing, analyzing current processes in Health and Safety, CARF dissemination of information and processes and Human Resources staffing and retention initiatives.
• Suggests improvements to the Executive Director and Director of Operations & Programs in the areas of identified risk for the society based on findings from the audit.
• Develop a plan outlining keys areas to be addressed for improvement, including dates and bundled projects regarding CARF standards compliance, quality assurance and performance measurement improvements required for the society.
• Create a training guideline for Society staff and Board members to learn the Performance Measurement Process, CARF related key activities to ensure standards compliance, the role in quality assurance, and a subsection in the plan for ongoing training and for onboarding members.
• Outline key timeframes for internal processes related to the performance measurement and CARF accreditation standards.
• Help establish direction for Quality Assurance Committee Board level.
• Review and analyze the current internal Health and Safety practices, cross reference, CARF, Union and Workplace standards to facilitate the creation of an improvement plan which addresses identified gaps and areas of concern.
• Assist in the creation of new systems of analysis.
• Educating the team on new systems and processes to ensure consistent implementation and ongoing practice.
• Create a system to ensure all worksites receive health and safety information in a consistent and timely manner.
• Create an internal process for reporting and documentation as well as procedural steps based on the outline provided in the Health and Safety Manual, and then educate staff on procedures and documentation expectations.
• Conduct Strengths, Weaknesses, Opportunities, and Threats (SWOT) analysis to provide recommendations for senior management.
• Creating the society retention and recruitment and succession plan.
• Update orientation manual and improve current process.
• Educate management on new staff orientation, by reviewing the new processes and answering any questions on the rollout of revisions to orientation process.
• Complete data entry where required to improve procedures.
• Other relevant duties as required.

Qualifications / Required Skills

Knowledge, Skills, Abilities, and Requirements:
• Diploma in human services.
• Minimum 2-year experience in a similar role.
• Experience working in a CARF or accredited organization.
• Excellent interpersonal skills, including verbal and written skills.
• Aptitude for streamlining processes and creating efficiencies.
• Ability to understand and solve challenging and complex administrative problems.
• Strong attention to detail and accuracy, able to multi-task and meet deadlines.
• Effective time management, organization, and planning skills
• Work independently and as part of a team.
• Proficiency in Excel, Word, Outlook and other platforms and technological tools required.
• Ability to learn and adapt to new technological tools and programs as necessary.
• Maintain sensitivity towards cultural, religious, economic & social beliefs, values & opinions.
