Organization Structure

Reporting to the CFO, this position provides the highest level of support to the Executive team. Reporting to the Director of Finance are: payroll and benefits staff and several accounting officers.

Summary of Responsibilities

Key duties and responsibilities include a wide variety of tasks ranging from payroll preparation, statistical documentation, benefit management, financial controls, and related records, external funder requests and approvals and a wide variety of financial reporting. Is responsible for accounting and business tasks which are necessary for meeting the legal and operational requirements of the Society. Oversees the financial personnel and offices of the Society.

Scope and Complexity

This position oversees, manages, directs and administrates the Society’s financial records and provides the due diligence to ensure that operations are conducted within generally accepted accounting principles. Close attention to detail is essential. The Director works closely with the CFO to plan for the financial requirements of the Society. The Director demonstrates leadership by providing timely advice, direction and guidance, and assists Leadership in achieving goals within budget. The Director deals with very sensitive and confidential issues that often have significant impact on the Society and services. The Director works independently and exercises judgement and problem solving skills to complete work. The Director handles issues both in person and through written communication. The job functions are complex in nature requiring a high degree of confidentiality and concentrated mental and written attention.

Communications
Internal and External

The majority of internal communication is with the CFO, Directors, Finance team, and Program Managers. However the Director of Finance has direct contact Leadership staff throughout the Society and provides regular reports to the CFO. External communications will primarily be through attending a variety of community/service tables and will include some presentations to the general public and government representatives. Regular written reports for both internal purposes and public distribution are integral to this position. Communications can be sensitive and the Director must utilize a thorough knowledge of the Society in addition to strong communication and interpersonal skills to respond effectively to inquiries or provide direction.

Duties and Responsibilities:
1. Develops and maintains a variety of records (i.e. spreadsheets, schedules, systems) necessary for Lookout financial needs, provides oversight of the Society finances, including business and accounting processes and payroll functions, ensuring that all records and transactions are accurate and that deadlines are met.

2. Prepares a variety of financial summaries and reports to present to the CFO in controlling expenditures and managing and prepares budgets including cost analysis and preparation during labor negotiations.

3. Assists the CFO to prepare annual budgets and periodic reports.

4. Prepares and analyses financial statements, cash flow estimates and comparative expenditure statements monthly. Prepares and maintains monthly program reports for various funded programs.

5. Provides Directors and Managers with detailed information as requested and suggestions on various program costs and budget issues. Designs various financial or other reports as requirement arises.

6. Oversees and maintains financial records, including all payroll records and the recording and posting of accounts receivable and payable, journal/ledger entries and bank reconciliations and all other financial transactions.

7. Oversees and prepares reconciliations routinely and as required, including donations, earned and rental income and various grants through a variety of means including bank statements, general ledgers, cash receipts, cash disbursements and accounts payable/receivable journals.

8. Work with CFO to ensure proper systems and procedures are in place with respect to the accounting department as a whole, i.e. proper filing systems to allow ease of accessibility to data, etc. Also proper work coordination to facilitate a smooth workflow within the department.

9. Directs the daily operation of the financial business services and facilitates systematic and efficient office procedures including that the clerical resources available are utilized effectively.

10. Evaluates related Contract work and negotiates extensions, changes and terminations.

11. Ensures high level of privacy and confidentiality in accord with policy, and as required by law or contractual agreement is maintained at all times.

12. Participates as a member of the Leadership team by attending meetings and serving on committees as required.

13. Maintains a current knowledge of and complies with all Society policies and procedures.

14. Manage the financial aspects of grant applications, reporting and compliance. Work with Leadership to track grant expenditures and meet reporting requirements.

15. Leads annual audit process, and liaise with external auditors, Ensure compliance with financial reporting standards and internal control requirements.

16. Recommends assets and cash management opportunities and savings.

17. Performs other related duties as required.

Qualifications / Required Skills

Qualifications:

Education, Training and Experience
• CPA Canada Designation and a Degree in Accounting or Finance required.
• Advanced computer skills highly efficient in Excel.
• 5 plus years’ senior level accounting/management experience or equivalent combination of education and experience.
• Non-profit accounting or management experience an asset.
• Staff supervisory experience.
• Ability to pass a Criminal Record Check for the vulnerable sector.
• Must be bondable.
• Must be fully vaccinated for COVID-19.
• Must have a valid Class 5 BC Driver’s License.

Skills and Abilities
• Proven ability to manage and lead an Accounting/Payroll Department.
• Demonstrated experience with payroll systems, benefits management and computerized accounting systems.
• Experience with internal controls, financial reporting and analysis, forecasts, and policy/procedure development.
• Strong time management skills and an ability to organize and manage a workload with multiple priorities.
• Demonstrate passion for non-profit’s Mission, Mandate and Vision.
• Strong analytical skills
• Demonstrated effective communicator at all levels, with strong oral and written skills.
• A collaborative and flexible leader with a strong service mentality.

Salary: $98,000 - $153,000
