Administrative Assistant (Summer Job)

Temporary starting immediately for 8 weeks Vancouver, BC

The Mood Disorders Association of BC (MDABC) is a non-profit organization that provides treatment, support, education and hope of recovery for people living with a mood disorder. We serve to build awareness and understanding in communities throughout the province, reaching out to as many people as possible. Our clinic offers psychiatric, counselling, rTMS treatment, support groups, food as medicine, art programs and other services. MDABC is a branch of Lookout Housing and Health Society. Hours, Days of Work and Salary: Will work Monday to Friday. Shift start times will be from 9:00 AM to 5:00 PM. Shifts are 8 hours in length with 1 hour break, for a total of 35 hours per week. Days of rest shall be consecutive. Schedule may change with two weeks’ notice. The position is temporary and for 8 weeks.

Positions are funded in part through the Government of Canada - Summer Jobs.

Job Duties Description: Art Studio Assistant

Position Overview: The Art Studio Assistant is responsible for providing support and assistance to artists and instructors in an art studio setting. They will assist with various tasks to ensure the smooth operation of the studio and contribute to a positive and creative environment for artists and students.

Key Responsibilities:

Studio Setup and Maintenance:

• Prepare art materials, tools, and equipment for classes, workshops, and studio sessions.
• Organize and maintain art supplies inventory, ensuring availability and proper storage.
• Clean and maintain the studio space, including tables, easels, brushes, and other equipment.
• Assist in setting up and arranging artwork displays and exhibitions.

Administrative Support:

• Assist with administrative tasks such as scheduling classes, managing registrations, and maintaining student records.
• Respond to inquiries from artists, students, and visitors, providing information about classes, workshops, and studio policies.
• Handle financial transactions, including processing payments, issuing receipts, and maintaining accurate records.
• Assist in marketing efforts by creating promotional materials, media platforms, flyers or brochures.
• Assistance to Artists and Instructors:
• Provide support artists and instructors during classes, workshops and studio sessions.
• Assist demonstrations, workshops, and art projects, ensuring artists have the necessary materials and guidance and assistance to students, answering questions and providing technical support.
• Help artists with the setup and cleanup of their workstations, ensuring a safe and organized environment.

Customer Service:

• Greet and welcome artists, students, and visitors, providing a friendly and professional atmosphere.
• Assist in resolving customer concerns or issues experience for.
• Foster a supportive and inclusive environment, encouraging creativity and collaboration among artists and students.

Health and Safety:

• Adhere to health and safety guidelines, ensuring a safe and clean environment for artists and students.
• Monitor and report any safety hazards or equipment malfunctions to the appropriate personnel.
• Provide guidance on the use and handling of art materials and equipment.

Qualifications / Required Skills

Qualifications:

• Enrollment in a Social Work, Mental Health or Criminal Justice program is preferred
• Must have current Occupational First Aid Level 1 Certificate
• Must have two doses of COVID 19 Vaccine
• Non-Violent Crisis Intervention Skills Training is an asset
• Must pass a satisfactory vulnerable sector Criminal Record Check
• Priority given to students who identify as Aboriginal, or are a visible minority
• Must be within the ages of 18-30 to qualify

Skills and Abilities:

• Demonstrated communication skills both verbal and written.
• Ability to manage high workload with multiple priorities.
• Excellent planning and organizational skills.
• Demonstrated ability to work within a busy wellness office.
