Job Description / Duties
PRIMARY RESPONSIBILITIES AND:
Complete monthly statements and reports (Identifies variances and
communicates/provides narrative on current opportunities and challenges)
Monitor collection of rents and aid when necessary to ensure AR is current and necessary
actions are taken to notify tenants of arrears, or any other defaults under the lease
agreement
Compose and distribute various letters, general notices, and e-mail correspondences
Facilitate the signing and delivery of leases, schedules, assignments, and addendum
forms
Administer any required British Columbia Residential Tenancy Act province-specific
documents followed by processing all legal actions as per the provincial guidelines
Performs general office functions such as booking and scheduling meetings, arranging
conference calls, and maintaining a stock of supplies in the work area relevant to program
needs.
Assists Building Manager with coordinating various contractors for tenant improvements,
issuing NOEs or onboarding new tenants
Assisting Building Manager and Housing Worker to record tenant income information
Attends meetings and records meeting minutes
Create documents including housing application forms
Assists with drafting housing policies or related documents
Maintains strong communication with internal and external stakeholders
Promotes VAFCS housing continuum online including social media
Responsible for marketing package for VAFCS Housing
Create systems to collect data on housing need
Ability to demonstrate resilience, flexibility, a non-judgmental approach, maintain
confidentiality, and maintain a professional attitude
SPECIFIC DUTIES:
Contacting vendors and contractors to start renovations on projects
Assisting in property management of two shelters and a transition house
Scan and file necessary paperwork that needs to be electronically stored.
Research, investigate, analyze affordable rental industry trends and developments
Work closely with Maintenance team to ensure the timely completion of all maintenance
activities and adherence to preventative management programs and seasonal building
services.
Complete regular building audits to identify building/community deficiencies, tenant
breaches and follows up
Contribute to ensuring that renovations, preventative maintenance, and capital projects
remain fiscally sound, affordable, and well-maintained, and that they feature a
comprehensive tenant services component
Follow-up with residents after maintenance work to ensure job completion and
satisfaction
Monitor and order office supplies, equipment, PPE, and cleaning supplies for multiple
locations including maintaining supplies lists
Answering phone calls and taking detailed messages.
Attend meetings, schedule appointments and organizing meetings for staff and
management
Note taking at meetings and organizing notes into meeting minutes or other documents
Maintain daily notes and records
Attend meetings with manager including monthly Occupation Health and Safety
Writing emails or memos
Update and improve all COVID-19 signage and information at all VAFCS locations
Research and update COVID-19 information and policies that affect all VAFCS locations
Support VAFCS management with all COVID-19 related concerns throughout the
Centres multiple locations
Take direction from multiple management team members and adjust timelines
accordingly
OTHER DUTIES:
Participate in outside training and/or in-service, as approved by direct supervisor
Attend all appropriate VAFCS meetings, including staff meetings upon invitation,
fundraising events, etc.
Participate in other VAFCS activities as appropriate
Ensure that time sheets and other forms are handed in on time
Other duties, as required.
Qualifications / Required Skills
The Property Assistant will work under the direct supervision of the Program Administrator.
Candidates must meet the following eligibility criteria:
be between 15 and 30 years of age (inclusive) at the start of placement
be a Canadian citizen, or permanent resident or a protected person as defined by the
Immigration and Refugee Protection Act
be legally entitled to work in Canada
be legally entitled to work according to the relevant provincial/territorial legislation and
regulations
be experiencing one or more barriers to employment
be not in education, employment, or training (NEET).
KNOWLEDGE, SKILLS, AND ABILITIES:
Work cooperatively, respectively and in consultation with the VAFCS management team
in all matters associated with the Centre
Understanding of Residential Tenancy Act
Knowledge of Property management systems (Asset)
Knowledge of creating budgets and adhering to fiscal constraints
Demonstrate self-awareness and self-evaluation skills
Demonstrate a willingness to adjust practices based on feedback from colleagues and
managers
Demonstrate office and clerical skills: proficient in Microsoft 365
Provide a Criminal Record Check
Strong communication (oral and written) and conflict resolution skills
Strong organizational and time management skills.
Self-motivated: able to work independently while supporting a team environment.
Knowledge of DTES Urban Aboriginal Organizations and programs
Knowledge of what the Vancouver Aboriginal Friendship Centre Society offers to
community and its members
Salary: $25-29 per hour
