Employment Coordinator, Temporary Full-Time – LEEP Program, New Westminster

Position Summary

The Administration Lead directs and provides oversight to the administration of the Lookout Ethical Employment Program. Key duties and responsibilities include tracking, analyzing and reporting on all measurables relating to the activities of the LEEP expansion project. Working with Manager, Job Developers and LEEP team to collect and manage statistics and ensure accurate documentation is completed; screen and prioritizing data collection; manage LEEP Sharepoint and Database for expansion; organize and monitor feedback mechanisms relating to the project; compose correspondence and work with LEEP Job Developer to arrange onsite trainings and other tasks necessary to facilitate cohort trainings.

The Administration Lead works alongside the Job Development Coordinator and is responsible for tracking all placement opportunities for program participants. Other duties may include assisting with personnel management including hiring, and training. The Coordinator will assist with payroll and will support staff in their work performance. The Coordinator may assist with preparation of program budgets, monitoring and approving expenditures; providing required financial documentation; maintaining reports on statistics and services; ensuring all regulations including health & safety are met while providing direct service to clientele. The Coordinator will liaise with businesses and local agencies as well as other employment services to coordinator work placements and volunteer placements for program participants.

Scope and Complexity

The Administrative Assistant demonstrates leadership by providing advice and guidance to others both internal and external to the Society. Provides assistance to Manager and staff members regarding process and protocols for the Society. The Assistant works independently as well as in close collaboration with Manager and other LEEP staff. The Assistant exercises judgement and problem solving skills to complete work. The Assistant assesses the demands on the Manager and where appropriate handles issues both in person and through written communication. The job has a few disagreeable factors.

Qualifications / Required Skills

Qualifications:

• Post-secondary education, preferably in the Social Services or Health fields, or comparable experience
• Two (2) years of experience working in the community social services sector
• Experience supporting individuals with employment goals as asset
• Experience with scheduling, payroll, budgeting, and human resources is an asset
• Demonstrated knowledge of income assistance, affordable housing, and health resources
• An Occupational First Aid Level 1 Certificate is required along with a Criminal Record Clearance for the Vulnerable Sector
• Must have two doses of COVID 19 Vaccine

Skills and Abilities:

• Strong collaborative approach to delivering and developing programs and services
• Proven ability to communicate effectively with external organizations
• Proven ability to work independently
• Proven ability to lead and work with a staff team in a unionized environment
• Demonstrated experience collecting program statistics and delivering reports
• Strong time management skills with the ability to manage a workload with multiple priorities
• Proven communication and conflict resolution skills
